COVID-19 Operational Procedures for Evergreen Sportsplex

NEW OPERATIONAL PROCEDURES AS OF NOVEMBER 16th, 2020

PER THE NEW GUIDELINES PUT FORTH BY GOVERNOR NORTHAM AND THE STATE OF VIRGINIA ALL ON FIELD ACTIVITES WILL CONTINUE AS SCHEDULED. WE WILL, HOWEVER, NOT BEING ALLOWING SPECTATORS FOR THE FORESEABLE FUTURE. PARENTS OR GUARDIANS MAY DROP THEIR PLAYERS AT DESIGNATED DROP-OFFS AS ALREADY DONE BUT WILL HAVE TO REMAIN IN THEIR VEHICLES OR RETURN FOR PICK-UP.

As Northern Virginia enters Phase 3 of Governor Northam’s Forward VA plan, the Evergreen Sportsplex will be modifying our field and facility usage plan to continue to operate with an abundance of caution. The interim operating procedures and policies that we have put in place for Phase 3 are guided by health and safety recommendations from federal, state, and local authorities.

The Evergreen Sportsplex will transition from Phase 2 operations to Phase 3 operations as of Wednesday, July 1st 2020. No contact drills should take place during training. Coaches, athletes, and spectators should maintain a distance of 6 feet where practicable. We will continue with our enhanced cleaning measures & social distancing policies that we established for Phase 1 & 2 as recommended by the CDC.

Each user organization must continue to operate in accordance with their revised written safety procedures which meet the Evergreen Sportsplex Phase 3 published rules.  Updated plans should be reviewed and approved by Evergreen Sportsplex management. The club safety procedures must include plans for drop-off and pick-up that include temperature testing, verification that each player has a properly executed club liability waiver, and a pre-play questionnaire completed. The procedures must include how social distancing is going to be ensured after drop off through pick up, including how late arriving players will be handled. Staggering of training sessions start times is encouraged to best support social distancing.

Additionally, all organizations that use the Evergreen Sportsplex will be required to adhere to specific requirements during Phase 3 listed below. These requirements, along with your organizational Phase 3 safety procedures must be shared with all players and families in your organization prior to their participation in a scheduled activity at the Evergreen Sportsplex. 

PHASE 3 REQUIREMENTS FOR USAGE OF THE EVERGREEN SPORTSPLEX 

1. DROP OFF/PICK UP: Clubs are responsible for coordinating staggered athlete drop-off and pick up at a pre-assigned designated area. Diagrams & parking lot signage will be distributed & is posted on site to provide direction to drivers. Clubs are responsible for handling athlete check in and field entry control to the fields of all club members. Club personnel performing check-in are required to wear face coverings. There will be no change to drop off and pick up procedures between Phase 2 and Phase 3. 

2. SPECTATOR POLICY: NO SPECTATORS.

3. ATHLETE WAIVERS: Clubs are responsible for distributing & collecting waivers from each player and coach prior to their first use of the Evergreen Sportsplex during Phase 3. Players that had waivers in place for Phase 1 & 2 do not need to complete a new waiver for Phase 3. For players under the age of eighteen (18), a parent or legal guardian must sign the waiver. 

4. ATHLETE PRE-PLAY QUESTIONNAIRES: Clubs must require that their players/athletes/coaches answer this survey verbally before every use of the Evergreen Sportsplex.  For players under the age of eighteen (18), a parent or legal guardian must verify the answers to the questionnaire. At a minimum the questionnaire should include the following two questions:

  • Has the athlete/player or any member of their household been exposed to someone known to have been diagnosed with Covid-19 in the last fourteen (14) days?

  • Has the athlete/player or any member of their household have a current diagnosis of Covid-19?

5. TEMPERATURE CHECK: Clubs will be required to administer temperature checks to every player and coach prior to entering the Sportsplex. 

6. DENIAL OF ENTRY: The club will be required to deny entry to any athlete/player or coach for any of the following reasons:

  • Any temperature reading for an athlete or coach of 100.4 or higher 

  • Any “YES” answer to the pre-play questionnaire questions

  • If there is no signed club waiver by the athlete’s parent or legal guardian .

Anyone who is denied entry due to a temperature reading of 100.4 or higher or a “YES” answer to a pre-play question must get a doctor’s release prior to being able to use the Evergreen Sportsplex. Any player with an actively diagnosed case of COVID-19 will not be allowed access to the Evergreen Sportsplex under any circumstances.

7. SOCIAL DISTANCING: Clubs are responsible for enforcing social distancing requirements for the entire period that the club is using the Evergreen Sportsplex. This includes from the time of drop off to the time the athlete/player returns to their car to leave the premises. During Phase 3 there will be a limit of 250 people (combined players, coaches, support personnel, and spectators) per field.

8. PHASE 3 BATHROOM POLICY: Certain sinks, stalls and urinals may be “closed off” to allow for social distancing.  Anyone using the bathrooms will be required to wear a face covering.  

9. PERSONAL PROTECTIVE EQUIPMENT (PPE):  Coaches/club personnel are required to wear face-covering/masks while conducting check-in. All guests are required to wear masks while indoors at the Evergreen Sportsplex, including any use of the multipurpose rooms and the Skybox. Athletes and coaches will not be required to wear face coverings/masks while training during Phase 3 other than as described in this document.

10. SPACING OF PLAYER EQUIPMENT: Player equipment and possessions left on the sidelines should be spaced to maintain at least six (6) foot social distancing. 

11. LIMIT TEAM-SHARED EQUIPMENT: The use of team shared equipment should be limited whenever possible and should be sanitized after each use.

12. NO HANDSHAKES/CELEBRATIONS:  Players and coaches should refrain from handshakes, high fives, fist/elbow bumps, chest bumps, group celebrations, etc. WATER BOTTLES:  Athletes and coaches should bring their own water bottles to all team activities to help to reduce transmission risk. Individuals should take their own water bottles home each night for cleaning and sanitation. The Evergreen Sportsplex will not be providing drinking water on the fields during Phase 3. 


COVID-19 TRAFFIC UPDATE: EVERGREEN SPORTSPLEX PHASE 3 RE-OPENING TRAFFIC PLAN WILL BE THE SAME AS PHASE 2

As we phase into the re-opening of the Evergreen Sportsplex, we are taking extra precautions to ensure the safety of our families, coaches and staff.  This begins with player drop offs and ends with player pick up.  To ensure this can be accomplished consistent with the rules we have set forth in the Evergreen Sportsplex Phase III re-opening document, we have created a new traffic pattern, as well as pick up and drop off points. 

There will be signage to help aid the flow of traffic as well as taped or painted arrows in the drive lanes to make it clear and safer in transitioning to and from training areas.  This will need to be a coordinated effort with our staff, club coaches & staff, and participant families to ensure a safe and smooth drop off and pick up process while minimizing contact and exposure to one another as much as possible.

Drop off will be the easier of the two processes as families will simply follow the traffic patterns to the designated drop off spot where the clubs will have a tent and staff to follow the protocol to allow players into the facility.  It will be a first come first serve basis as the cars will form a line leading into their designated drop off spots and wait in line until they can move forward.

Pick ups will require more attention as parents navigate to ensure that the players are in an area where they can identify when their ride has arrived to the designated pick up spot.  It will be the club’s responsibility to keep the players organized and separated in their designated area safe from the traffic in the parking lots.

A representative of the team will be required to check in and out all of the players and remain in the lot until all players of that session have been picked up.

We thank everyone for their patience and cooperation and ask that as we continue through the phases that all guidelines and rules are adhered to. Safety is our number one concern and hopefully with these plans and working together we can achieve this with as little inconvenience as possible.

We have included the following documents to help everyone understand the plans prior to coming to the facility.  We suggest clubs and families make aware what field and plan they have for that day and can use the color coding to help.
